Print Procurement Specialist

The Print Procurement Specialist will be primarily responsible for managing and executing all agency production purchasing. The position will split work time equally between two locations -- agency headquarters and in-house print/lettershop production facility.

Responsibilities

  • Quoting/Purchasing/Vendor Management
    • Quotes all jobs to ensure the best costs and quality
    • Input pricing into internal budget documents, compare quotes to job budgets
    • Issues Purchase Orders, from both agency and lettershop software as required
    • Supervises work performed by outside vendors for timeliness and quality
    • Maintains cordial contact with all suppliers, researches new suppliers
    • Maintains reference files for suppliers of various products and services, categorized by quality, price, and turnaround
  • Scheduling
    • Coordinates print schedules and ensures jobs have proper approvals by due dates
    • Follows up with suppliers to be sure they will meet promised delivery dates
    • Coordinates delivery schedules with lettershop
  • Invoice/Final Costs Reconciliation
    • Reviews and approves invoices, settles billing discrepancies with suppliers
    • Assists with producing lettershop invoices
    • Create final costs reconciliation for all jobs

Qualifications

  • Education at the college level and a minimum of two years 2 years printing and direct mail experience
  • Familiarity with printing and mailing operations and terminology
  • Knowledge of cost accounting, printing processes, suppliers, and purchasing methods
  • Excellent command of the English language in both written and oral forms
  • Exceptional phone and customer service skills, a positive and upbeat attitude.
  • Ability to understand customers’ needs and requirements and relate to production processes
  • Strong attention to detail, possessing a sales aptitude and interested in preventing errors and solving problems
  • Must be proficient in Microsoft Office Suite and Google G-Suite applications, computer literate and current on new technology
  • Must be hardworking, a self-starter, and a problem solver
  • Demonstrated excellence in organization and time management skills, able to perform multiple tasks efficiently
